Purpose Of Position:

Live AVIDA's values to lead the planning, deployment, project execution, and ongoing management of client retail experience programs. You'll be the client's partner and main contact to form the bridge between them and internal teams. You'll work relentlessly to execute projects and programs impeccably. AVIDA Program Managers are the quarterback and play-maker, and take ownership of their client programs to deliver against AVIDA's strategy. The Programs team reports to the Director of Programs.

What you'll be doing:
Program Ownership
  • Assist Director/LT with development of program scopes of work or proposals
  • Work with Director/LT to realize the program’s strategic vision and understand a project’s objectives, linking the different work streams
  • Take ownership of programs by thinking critically and strategically in regard to overall strategy, content strategy, program growth, and client engagement
  • Anticipate areas of risk (eg. logistical issues, creative delays, financial/cost, etc.), develop mitigation strategies, and provide solutions to Director/LT
  • Proactively monitor, measure, and report against program KPIs, and make recommendations to client and internal project teams on program optimization; provide foresight and future planning to sustain and/or grow programs in the long-term
  • Be able to speak to AVIDA's offerings and understand how they can help solve for client business objectives, as well as understand, align, and communicate the program’s strategic objectives against AVIDA’s overall strategy and vision
  • Responsible and accountable for program delivery based on the program design


Project Management
  • Lead complex projects, programs, and meetings internally as necessary
  • Manage projects on a strategic level from start to completion, including maintaining accurate and up-to-date records of all activities, meeting minute-taking timelines/project plans, file archives, detailed trackers, dockets, timely status updates, and use of other project management tools as needed
  • Day-to-day contact for project team members and external stakeholders
  • Monitor and control changes and impact to program or project scope; identify when projects are at risk, develop and implement solutions
  • Deliver projects in scope, on schedule, and with allocated resources
  • Own and proactively command all processes related to a project or program, including account reviews, invoicing, timeline management, team management, and overall workflow


Account Management
  • Serve as the client’s main point of contact, on both a strategic and tactical basis, for matters related project management, and program strategy
  • Plan and lead client meetings, and develop presentations and other documents as required
  • Manage partner agencies and/or vendors to deliver on creative campaign requirements
  • Balance client interests with internal recommendations and priorities, and make prioritization recommendations
  • Customize and reinforce AVIDA’s processes with clients
  • Prepare status reports for clients, and lead regular status calls and meetings based on the agreed frequency
  • Build trust-based relationships with clients and key stakeholders through effective and quality delivery on all projects and programs, and through client engagement initiatives


Content Management
  • Manage creative content development and production, based on client requests
  • Execute content strategies by questioning client requests, making recommendations based on best practice, and critically review content to ensure alignment with strategic direction
  • Lead content reviews as part of the project management process
  • Review and proofread client deliverables prior to sending, and ensure all details of client requests have been accounted for
  • Create content playlists, and upload and schedule content in the Content Management System (CMS); audit playlists for accuracy
  • Create and update content trackers, and initiate discussions with Strategists to continually review and advance the content strategy


Administration
  • Lead the development of and circulate formal agendas prior to presentations and meetings
  • Take thorough notes during and after presentations and meetings, and prepare and circulate formal meeting minutes to the client; assign action items and ensure follow-through
  • Confirm client monthly billing with Finance, and submit invoice requests for incremental billing; ensure all billing is accurate and up to date
  • Create incremental estimates for clients as needed
  • Coordinate and schedule contractors and 3rd party vendors
  • Work closely with the technical support team to proactively flag and assist in troubleshooting technical issues
  • Perform other responsibilities as assigned by Management

Technical Skills
  • Excellent presentation and meeting facilitation skills
  • Demonstrate clear, well-structured, and concise written and verbal communication
  • Excellent time management and organizational skills, with exceptional attention to detail
  • Proficient in the application of project management fundamentals, demonstrated through use of PM tools and techniques


Minimum qualifications
  • Bachelor’s Degree in a related field
  • Minimum 3 years related experience in account management, project management, digital product management, program management
  • Experience with digital projects an asset
  • PMP certification (completion or in progress) an asset
